Manager, Volunteer Services

Description

The Manager, Volunteer Services is responsible for furthering the vision for volunteer involvement within the organization. The volunteer program not only supplements staff efforts, but is a conduit for relationships with donors and the community. With the guidance of the President the Manager, Volunteer Services is the steward of the many parts that make the whole program successful.

 

Responsibilities

  1. Program Planning
    1. periodic review of the volunteer program’s goals and objectives, its policies and procedures
    2. assess the need for volunteers, in-house, events and virtual
    3. develop new projects and design volunteer assignments
    4. advocate for volunteers
     
  2. Recruitment
    1. plan and develop recruitment strategies
    2. represent TAPS at community functions
    3. develop and foster relationship with community groups, donors and corporations
     
  3. Registration, Training and Risk Management
    1. ensure all volunteers are registered through the volunteer database
    2. ensure all volunteers complete the online orientation prior to assigning an “ACTIVE” designation
    3. periodic review of volunteer orientation; modifications as necessary
    4. periodic review of volunteer handbook; modifications as necessary
    5. background checks for any volunteers having direct access to children
    6. clear communication of volunteer tasks and expectations prior to events
     
  4. Scheduling
    1. schedule all in-house and event volunteers
    2. communicate with management and staff to coordinate supervision, as necessary
    3. create contingency plans for volunteer no-shows at events
     
  5. Supervision and Reporting
    1. Provide guidance for volunteers
    2. Facilitate supervision by other staff or senior volunteers, as necessary
    3. complete after action reports for all events
    4. provide management with pertinent data regarding the volunteer program
      1. number of volunteers
      2. volunteer hours
      3. volunteer impact, financial and anecdotal
      4. ratio of staff to volunteers
      5. other data as requested
     
  6. Evaluation, Appreciation and Retention
    1. prepare and mail volunteer welcome packet upon completion of registration and orientation
    2. mail birthday cards every month to volunteers
    3. conduct evaluations
    4. organize volunteer luncheon or awards ceremony once per year
    5. keep volunteers informed through a periodic newsletter
    6. maintain contact throughout the year with volunteers to ensure ongoing appreciation
    7. participate in activities sponsored by volunteers and community partners

 

Qualifications

  • Strong preference for Certification in Volunteer Administration (CVA)
  • Bachelor's degree in management or an equivalent combination of education and experience
  • Proven ability to recruit, inspire and organize volunteers
  • Excellent time management skills
  • Working knowledge of Microsoft Office
  • Proven ability to develop and foster interpersonal relationships, public speaking abilities, and excellent team building skills
